Information regarding safety measures and refund policy

Taking into account the unpredictable nature of the current health crisis and the Belgian government's Covid measures we have done our  best to plan  for a number of possible eventualities to ensure the quality of the conference and most importantly the safety of our participants. Here are the most important  points of information you need to know before applying for KULMUN2021 as either a chair or delegate:

We are currently planning a full physical conference but downsizing or moving online is a possibility: As our conference is taking place in March 2021 we cannot predict what measures will be put in place by the Belgian government. At this moment we are planning a full physical conference as in previous editions of our conference. This will mean between 100 to 150 participants split into committees of 20-30 people. But we are prepared for the following scenarios:​​

  • Full sized conference: In this case we will move ahead with a full sized conference as previously mentioned.

  • Conference downsizing: In the case that the Belgian government limits the size of public gatherings or we feel that extra measures must be taken to ensure the safety of our attendees we may need to reduce the total capacity of the conference or to split the committees and social activities into smaller groups.

  • Moving to a virtual format: If a physical conference can no longer go ahead either due to government Covid measures or if we feel that the health of our participants would be put at risk we will move to an online format. In this case delegates and chairs will be refunded in accordance to the guidelines below.

Refund policy: In the case that our conference is cancelled or moved online the following policy will be followed regarding refunds to your ​​delegate/chair and accommodation fees:

  • Delegate and chair fees: In the case that the KULMUN2021 conference must be cancelled or moved online, participation fees for both delegates and chairs will be fully refunded.

  • Accommodation fees: As with our delegate and chair fees, accommodation fees will be fully refunded if the conference is cancelled or moved online. It is important to note that we can only guarantee a refund for your accommodation if you have taken one of the accommodation packages that we offer. If you choose to organize your own accommodation we cannot guarantee you will be refunded.

  • Transportation fees: As we do not offer a transportation package we cannot refund delegate or chair transportation fees. We highly recommend you contact your transport provider for information on their refund policy before applying to KULMUN2021.

  •  What if the Belgian government changes travel policies to your country? In the case that the Belgian government denies travel from your country due to Covid-19 or imposes a two week quarantine leading you to miss the conference, your delegate fees and accommodation fees will be refunded in accordance to the previously mentioned guidelines. It is very important that you check both your home country's and the Belgian government's foreign affairs websites to see what travel restrictions apply to you before applying to KULMUN2021:  https://diplomatie.belgium.be/nl. These travel restrictions are subject to change.

Important Government Covid measures: As the conference comes closer we will be sure to keep delegates informed on important measures to keep in mind while applying and during the conference itself. You will find updates on this page as well as on our social media. Emails with important updates will also be sent via email to those who have already applied.
